Who is LeasePlan?

LeasePlan offers all forms of professional vehicle fleet management for all markets and sectors.  LeasePlan Belgium is a subsidiary of LeasePlan Corporation and is a member of RENTA (the Belgian federation of vehicle leasing companies).  LeasePlan is active in 32 countries and world market leader in operational car leasing (long-term leasing including services such as maintenance, tyres, insurance & risk retention, breakdown assistance, etc.).

The price is determined on the basis of a specific contract term in combination with a certain number of kilometres per year. What if I deviate from that?

If the annual kilometrage changes, for example because on average you drove or want to drive more or fewer kilometres per year, you pay the lease rate that, in accordance with the table, is associated with the new term/annual kilometrage combination.  The average driven annual kilometrage is evaluated a first time twelve months after start of the term, and a second time at the end of the term. In case the lease rate changes, you will owe the new lease rate retroactively, i.e. as of the start of the term. We will settle with you for the excessive or insufficient amount paid. This is illustrated in the following examples.
 
Example 1: after the first year, you drive more kilometres than contractually agreed
Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 1-10,000 per year. You pay a lease rate of € 189/month. After 12 months, it appears that at that moment you have already driven 14,000 kilometres. As of then you will pay the lease rate that goes with the annual kilometrage 10,001-20,000, i.e. € 199/month. The new lease rate applies retroactively, so for the preceding 12 months you´ll owe us an amount of € 120 = 12 months x € 10 (the difference between € 199 and € 189).  In that case, LeasePlan sends you a one-time invoice of € 120 for the correction over the already-driven months.
 
Example 2: after the first year, you drive fewer kilometres than contractually agreed
It works the other way around as well. Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 20,001-30,000 per year. You pay a lease rate of € 209/month. After 12 months, it appears that at that moment you have only driven 14,000 kilometres. As of then you will pay the lease rate that goes with the annual kilometrage 10,001-20,000, i.e. € 199/per month. The new lease rate applies retroactively, so for the preceding 12 months LeasePlan will owe you an amount of € 120 = 12 months x € 10 (the difference between € 209 and € 199).  In that case, LeasePlan sends you a one-time credit note of € 120 for the correction over the already-driven months.
 
Example 3: in the first year you drive in accordance with the agreed kilometres, but you deviate in the second year
Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 0-10,000 km/year. You pay a lease rate of € 189/month. After 12 months, it appears that you at that moment have driven 8,963 kilometres. So you are driving perfectly within the agreed number of kilometres of 0-10,000 km/year.  At the end of the contract (after exactly 24 months), when you turn in your car, it appears that your final number of kilometres is 25,800 km.  This means that in reality you drove an average of 12,800 km/year.  And that goes with the lease rate of € 199/per month.  The lease rate applies retroactively, so for the preceding 24 months you´ll owe us an amount of € 240 = 24 months x € 10 (the difference between € 199 and € 189).  In that case, LeasePlan sends you a one-time invoice of € 240 for the correction over the already-driven months.
 
Example 4: in the first year you drive in accordance with the agreed kilometres and ultimately you drive more than the maximum of 60,000 km included in the contract
Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 10,001-20,000 km/year. You pay a lease rate of € 199/month. After 12 months it appears that at that moment you have driven 18,963 kilometres. So you are driving perfectly within the agreed number of kilometres of 10,001-20,000 km/year.  At the end of the contract (after exactly 24 months), when you turn in your car, it appears that your final number of kilometres is 63,250 km. This means that in reality you drove an average of 31,625 km/year.  This rate is partly covered by the lease rate that is owed for a number of kilometres of 20,001-30,000 km/year and partly by the kilometre price for every driven kilometre above 60,000.  In this example, the following will happen:
 
1) You fall within the lease rate of € 209/per month.  The lease rate applies retroactively, so for the preceding 24 months you will owe to LeasePlan an amount of € 240 = 24 months x € 10 (the difference between € 209 and € 199).
2) The rate of € 209/per month covers 60,000 km.  You will have to compensate LeasePlan for the additional 3,250 km at a rate of 10 eurocent/km.
3) In that case, LeasePlan sends you a one-time invoice of € 565 (= € 240 + € 325) for the correction over the already-driven months and the extra driven kilometres.

Who is LeasePlan and where do the vehicles you sell come from?

What is My LeasePlan?

My LeasePlan is your personal online environment. Here you can consult your car, adapt your number of driven kilometres, look at and download invoices, make maintenance appointments and request certain documents.  My LeasePlan is constantly being further developed so that in the future you will have more self-service possibilities.

With the invoice will I have enough details to prove the actual professional expenses in my declaration?

Yes, that is the case.

Can I also choose a different car?

No. This action applies only for the 5-door Opel Corsa Enjoy 1.2 petrol.

Why is the first invoice for a higher amount?

If you do not begin to use your car on the 1st, but rather on e.g. the 21st of the month, there is a ´broken´ period. You then receive an invoice for both the first broken period and the entire following month. You then pay in 1 time the lease instalment for the period from the 21st through the 30/31st plus the entire following month. You can find the calculation on the invoice.

Do I get a discount if I order more than 1 car?

No. LeasePlan has already negotiated the best price.

Where can I find additional information about my car?

In the user manual that you will receive upon delivery.

Who owns the vehicles you offer for sale?

LeasePlan is the 1st owner of all the vehicles we offer for sale.

Can I have my car registered with personalised number plates?

That is always possible, but be aware of the following drawbacks:
- the cost for a personalised number plate amounts to 2,000 euros
- the car is always registered in the name of LeasePlan: this means that you´ve lost those 2,000 euros once you turn in the car at the end of the contract (*)
(*) unless, of course, you enter into a new contract and transfer the personalised number plate to the new contract

Does LeasePlan take over my current car?

No. You can sell it yourself, online or otherwise. Or you can talk with an Opel dealer of your choice.

How much does my Corsa consume?

The average fuel consumption, as indicated by the manufacturer, amounts to 5.4 l/100 km.  However, the consumption is influenced by your own personal driving style.

Can I cancel my contract early?

You assumed a financial obligation for a specific period. Should you wish to cancel the contract before the end of the term, then you will have to pay a cancellation indemnity:
- if you cancel the contract within the first 12 months, then you pay 12 lease payments + 3 lease payments as cancellation indemnity
- if you cancel the contract between 12 and 24 months, then you pay through the month of cancellation + 3 lease payments of cancellation indemnity

What GPS can I get with the GPS voucher?

With the GPS voucher you can pick up a TomTom Start25 from your favourite Media Markt store.  This GPS has a store value of 69 euros.  However, if you would like a different GPS, you can turn in your GPS voucher for an equivalent of 50 euros that will then be deducted from the GPS that you ultimately buy.

Do I have to pay my maintenance bill myself?

No, this is included in your lease agreement with LeasePlan.  The Opel garage sends the invoice to LeasePlan and LeasePlan pays the invoice to the Opel dealer.  So you simply drop off your car without worries and then pick it up again later.

How can I be sure of the quality of an ex-lease vehicle from LeasePlan?

Our cars are mandatorily serviced at the intervals prescribed by the manufacturers and always at an official garage. In addition, all our cars undergo a rigorous selection process based on the general condition of the car, its technical past and damage history. Only vehicles that meet our exacting quality requirements are offered to private citizens. And as every car we sell comes with a CarPass certificate, even the mileage is guaranteed.

How is the monthly payment made?

You receive your invoice in the middle of the month. The monthly lease amount is transferred on the 1st of the following month via a direct bank debit from your account.

At your favourite Media Markt store

How often must my car be serviced?

The maintenance has to be done every 30,000 km/year, or once a year, whichever comes first.

How much do I pay in case of damage?

You have a contractual indemnity of 450 euros. If you have non-recoverable damage, then you will pay for a share of the damage yourself (up to a maximum of 450 euros). Let´s assume there is damage of 850 euros - then you pay 450 euros.) If the damage amount is lower than 450 euros, you have to pay the entire damage amount yourself.

Where can I have my car serviced?

At any official Opel garage.  You are free to choose from amongst them.

What risk do I run?

You enter into a financial obligation for a specific period.  Along with the monthly rent, you can be charged extra costs in the following cases:
- in the event of claim as a result of a bilateral accident at fault, a unilateral accident, or vandalism by unknown parties
- in the event of loss of documents
- in the event of loss of keys
- in case of refusal of direct debit or default of payment
- in the event that the car is turned in too early or too late
- in case of gross negligence
 

Can I take a look at the vehicle's technical history?

Of course and, on request, we even supply you with a copy. This level of transparency is near to unique in the second-hand vehicle market.

What happens if the person who signed the contract dies?

In that case, there are 2 possibilities:
- the contract is transferred to a different natural person
- the contract is terminated without costs

Can I choose a colour myself?

Yes, you can choose one of three colours: Carbon Flash, Shiny Grey or Asteroid Grey.

No.  The boot has to be opened from the outside via the touch control under the brand emblem on the lid of the boot.

Have the vehicles ever been involved in a collision?

Cars that were involved in a collision affecting their technical structure are never selected for resale. Only, minor, correctly repaired damage to the bodywork (e.g. parking damage, scratches, window/windscreen damage) is acceptable.

Is the car equipped with the legally required kit?

Yes, the car contains the legally required kit when it is delivered.  This includes the fire extinguisher, the emergency triangle, the first-aid kit with a fluorescent safety vest. 

How many seats does the car have?

5 seats.  The middle seat in the back does not have a headrest, the 2 outer seats do.

How many people would have driven any given vehicle?

As all our vehicles are long-term lease vehicles, most of them have only had 1 driver.

Are there child safety locks on the rear doors?

Yes, these can be activated/deactivated with the knob on the inside of the rear doors.

How many keys do I receive with the car?

You receive 2 keys, 1 of which is retractable.

Are your cars MOT'd?

Yes, every car undergoes an extensive technical inspection and comes with a CarPass certificate.

Is my car delivered with floor mats?

Yes, we provide 4 fabric floor mats.

Can you elaborate on the warranty a little?

The warranty is valid for 12 months and honoured by every official dealer of the make you purchase. The advantage of this is that you can choose your own recognised repairer! For an additional fee, the warranty can be extended to 24 months; our sales consultants will be happy to provide you with further details.

In the event of a technical problem that is covered by the warranty, your mechanic must first submit a detailed quote to our repair service. After verification, the quote is given an approval number and the bill is sent directly to LeasePlan. So, while your car is under warranty, there is no need for you to advance the cost of any repair work that has been approved.

The warranty we offer is most extensive and does not only cover the engine, turbo and gearbox but also the electronics, the air conditioning.... Only normal wear and tear (e.g. brakes, tyres, clutch, battery, filters) and servicing are not covered by the warranty. For further details about our warranty, please contact our sales consultants.

Do I have to check the car´s oil level on a regular basis?

Yes, it is recommended to check the oil level every 1000 km.  LeasePlan also expects this from you as the prudent and responsible holder of your car.

Can my back seat be folded down?

Yes, this is useful if you have to transport larger items.

What is the procedure if I want to buy a car, do I need to pay a deposit?

When you decide to purchase a car, we draw up a sales agreement; there is no need to pay a deposit there and then. Once you have returned the duly signed order form, we organise the technical inspection and any extra services you may require (e.g. fitting a hitch, winter tyres...).
As soon as the car has been MOT'd and after we have received the full purchase sum, we send you the MOT documents by e-mail so that your insurance broker can do what is necessary to register and insure your car.

Can the outside mirrors be folded in?

Yes, manually.  This can be done by gently pressing on the housing of the mirror.

Can I mount roof racks for e.g. a roof box?

Yes, that can be done.  Note carefully that the maximum roof load is 75 kg. You can always buy your roof racks (and roof box) at your Opel garage.

Can I trade in my current car?

Unfortunately, LeasePlan does not do trade-ins but our sales consultants will be happy to value your car and to give you tips on how to sell it.

Can I equip my car with a towing hook?

Yes, that can be done, but it is in any case only possible in after placement.  You will have to pay the costs for this.  We recommend having this done at your Opel garage.  Any damage that you cause due to the mounting and/or dismantling of the towing hook will be invoiced to you by LeasePlan.  Note that the maximum hauling capacity of your car amounts to 700 kg (braked).

Is my Opel Corsa Enjoy equipped with Bluetooth preparation?

Yes.

Can I pay in cash or by cheque?

No, payment can only be effected by bank transfer into the account specified on the order form. The amount must be settled in full before the documents are issued and the vehicle can be collected. 

Can I deactivate the airbag on the passenger side?

Yes, via a switch in the glove compartment.
With the passenger airbag turned off, a child seat can be installed on the front passenger seat.

What is an automatically dimming interior mirror?

This prevents you from being blinded at night by the glare from the cars behind you.

Can you supply me with winter tyres or a hitch?

We can supply you with winter tyres from our stock and also fit them if you wish. We always supply tyre sets (not mounted on rims) with a thread depth of minimum 5 mm, practically new in other words, and at unbeatable prices. We can also fit your car with a fixed or removable hitch. For prices and additional information, kindly contact our sales consultants.

Can I set my air conditioner at a certain temperature?

Your Opel Corsa Enjoy is equipped with a manual air conditioner, you switch the air conditioner on/off via the control button on the middle console and regulate the temperature via the cold/hot switch.  You cannot set the temperature electronically.

Are there ISOFIX connections in the car?

Yes, there are 2 ISOFIX connections in the back seat.

Do the prices you advertise include VAT?

Indeed, all our prices are inclusive of 21% VAT. 

How can you supply cars that cheaply?

As LeasePlan is the first owner of the cars we offer, we don't have to work with middlemen. At that, we work on the basis of the outlet principle (no swanky showroom, we don't open at weekends), which considerably reduces our operating costs. Are your prices open to discussion?

As our prices are the keenest on the market as it is, there is no room for negotiation.

How long does it take before I can collect my new purchase?

Depending on any extra services (e.g. hitch, service), it takes us on average 5 days to have your car ready for collection.

My Opel Corsa Enjoy contract will soon end. What do I have to know about the restitution?

The restitution of your Opel Corsa Enjoy will take place at LeasePlan in Boortmeerbeek, Industrieweg 23b.
 
The car needs to be restituted free of damage. This means that all damage that cannot be considered as usage damage needs to be reported and repaired when the car is restituted.
Please read the guidelines about end of contract damage. 
A few weeks before your Opel Corsa Enjoy contract ends you will receive an email with detailed information about the restitution.
 

Crit’Air eco vignette obligatory in France as of the 1st of July 2017

The new Crit’Air clean air sticker is mandatory in cities with environmental zones. This means only cars with a Crit’Air vignette have access to these ‘restricted traffic zones’ (ZCR). So far, Paris, Lyon, Grenoble and Lille have introduced the new vignette.  In the centre of Paris the vignette is mandatory.

As of then you will pay the lease rate that goes with the annual kilometrage 10.001-15.000, i.e. € 374/month. The new lease rate applies retroactively, so for the preceding 12 months you´ll owe us an amount of € 300 = 12 months x € 25 (the difference between € 374 and € 349).  In that case, LeasePlan sends you a one-time invoice of € 300 for the correction over the already-driven months.

 

Example 2: you have chosen a contract on 24 months and after the first year, you drive fewer kilometres than contractually agreed

It works the other way around as well. Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 15.001-20.000 per year. You pay a lease rate of € 399/month. After 12 months, it appears that at that moment you have only driven 9.000 kilometres. As of then you will pay the lease rate that goes with the annual kilometrage 1-10.000, i.e. € 349/per month. The new lease rate applies retroactively, so for the preceding 12 months LeasePlan will owe you an amount of € 600 = 12 months x € 50 (the difference between € 399 and € 349).  In that case, LeasePlan sends you a one-time credit note of € 600 for the correction over the already-driven months.

 

Example 3: you have chosen a contract on 36 months, in the first two years you drive in accordance with the agreed kilometres, but you deviate in the third year

Let´s assume: you concluded a contract with us for a term of 36 months and a number of kilometres of 1 -10.000 km/year. You pay a lease rate of € 349/month. After 12 months, it appears that you at that moment have driven 6,963 kilometres.  Also after 24 months, it appears that you have driven within the contractual agreed number of kilometres.  At the end of the contract (after exactly 36 months), when you turn in your car, it appears that your final number of kilometres is 36,600 km.  This means that in reality you drove an average of 12,200 km/year.  And that goes with the lease rate of € 374/per month.  The lease rate applies retroactively, so for the preceding 36 months you´ll owe us an amount of € 900 = 36 months x € 25 (the difference between € 374 and € 349).  In that case, LeasePlan sends you a one-time invoice of € 900 for the correction over the already-driven months.

 

Example 4: you have chosen a contract on 24 months, in the first year you drive in accordance with the agreed kilometres and ultimately you drive more than the maximum of 60,000 km included in the contract

Let´s assume: you concluded a contract with us for a term of 24 months and a number of kilometres of 20,001-25,000 km/year. You pay a lease rate of € 424/month. After 12 months it appears that at that moment you have driven 24,693 kilometres, so you are driving perfectly within the agreed number of kilometres of 20,001-25,000 km/year.  At the end of the contract (after exactly 24 months), when you turn in your car, it appears that your final number of kilometres is 62,870 km. This means that in reality you drove an average of 31,435 km/year.  This rate is partly covered by the lease rate that is owed for a number of kilometres of 25,001-30,000 km/year and partly by the kilometre price for every driven kilometre above 60,000.  In this example, the following will happen:

1) You fall within the lease rate of € 449/per month.  The lease rate applies retroactively, so for the preceding 24 months you will owe to LeasePlan an amount of € 600 = 24 months x € 25 (the difference between € 449 and € 424).

2) The rate of € 449/per month covers 60,000 km.  You will have to compensate LeasePlan for the additional 2,870 km at a rate of 10 eurocent/km.

3) In that case, LeasePlan sends you a one-time invoice of € 887 (= € 600 + € 287) for the correction over the already-driven months and the extra driven kilometres. 

 

After every 12 months LeasePlan will check the number of kilometres you have driven in reality and they will contact you as soon as they see a difference with the contractual number of kilometres.

How much do I pay in case of damage?

'For the Nissan Qashqai N-Connecta you have a contractual indemnity of 500 euro. If you have non-recoverable damage, then you will pay for a share of the damage yourself (up to a maximum of 500 euro). Let´s assume there is damage of 850 euros - then you pay 500 euro.  If the damage amount is lower than 500 euro, you have to pay the entire damage amount yourself. 

Does LeasePlan take over my current car?

No. You can sell it yourself, online or otherwise. Or you can talk with an Nissan dealer of your choice.

Can I leave with the car right away?

No. But you can look at it.

Why should I lease this car?

Quite simply, because this is an incredibly advantageous action.

When is the car delivered?

The delivery time depends on the processing time for receiving the contract, the required documents and the expiry of the legal reflection period.  If you decide late in the action, the car may still have to be ordered.  Unfortunately, in this case we have no influence on the delivery period.  We proceed on the assumption of a delivery period of 2 to 4 weeks, but will strive to deliver all cars as soon as possible.

In the Nissan garage that you selected when you registered.

When can I get the car?

After the Private Lease agreement has been signed and a number of documents have been received, an appointment is scheduled for turning the car over to you. The expected processing time is around 2 to 4 weeks, because we also take the statutorily-required 14-day reflection period into account.

Until when can I postpone the delivery of my car?

Untill mid January 2017.

When (at the earliest) can I take delivery of my car?

This depends on the duration of obtaining the complete and correctly signed contract, other required documents and the expiry of the statutory reflection period.  If you decide late during the action period, the stock of available cars may perhaps be already exhausted and your car may still have to be ordered. In this case we unfortunately have no influence on the delivery period. 

In general, we expect a delivery period of 2 to 4 weeks after the expiry of the statutory reflection period, but we aim to deliver every car as quickly as possible.

Is driver/passenger insurance included in the lease contract?

No.

Can I equip my car with other rims?

Yes, this is possible, but only after the car has been delivered. The cost of the installation is at your own expense. We recommend you to have the rims installed by your Nissan garage.  Any damage caused by improper installation and/or removal of the rims will be invoiced to you by LeasePlan.    

ATTENTION!  You can only equip your car with other rims provided that you respect the original tire size. Usually, larger rims demand larger - and often more expensive - tires.  If you do not respect the original tire size, LeasePlan will invoice you the additional costs.

Can I customize my Nissan Qashqai N-Connecta with additional options or accessories?

Yes, this is possible, but only after the car has been delivered. The cost of the installation is at your own expense. We recommend you to have the options/accessories fitted by your Nissan garage.  Any damage caused by improper installation and/or removal of the options/accessories will be invoiced to you by LeasePlan.

I have changed bank. What exactly do I have to do?

Inform LeasePlan as soon as possible by sending an e-mail to leaseplan@collectionslp.be, clearly indicating your name and number plate. You will then be sent a document to be signed by you that is required to make the necessary administrative change. You should sign this document and return it to us as quickly as possible. This can be dealt with entirely by e-mail.

Does my bank charge me if the direct debit is refused?

This differs from bank to bank and often even depends on the sort of account that you have with the bank. We therefore advise you to ask your bank whether or not costs will be charged in that case.

There were not enough funds on my account. Will LeasePlan present the direct debit again or do I have to make the payment myself, manually?

If the payment by direct debit is refused because there are insufficient funds in the account, for instance, then LeasePlan will present the sum for payment via direct debit for a second time fourteen days later.

If it is again refused, then you will have to pay manually by means of a transfer until otherwise agreed after contact with LeasePlan. If you make a payment by manual transfer, please always give as the reference the invoice number and the number plate of your car. You will find the account numbers to which you can send this transfer at the bottom of the invoice. In any case, in the event of payment problems, we advise you to contact LeasePlan first, before making a manual payment.
Bear in mind that a refusal of payment via direct debit leads to late payment and this can give rise to an additional administrative cost of €50.

Why can my first invoice differ from the monthly lease price stated in the contract?

For the first month, you will only be invoiced as of the date on which you take receipt of your vehicle.

Example: you took receipt of your car on the 17th of the month. In that case, for this month you will only pay as of the 17th until the end of the month.

However, as the start of invoicing depends on receipt of the sales invoice from the garage, if this is late reaching us, the first invoice may immediately cover a longer period.

Example: You took receipt of your car on 17/3. LeasePlan receives the purchase invoice on 21/4 and takes the necessary steps to start invoicing on 22/4. In that case, the first invoice will cover the period from 17/3 to the end of April, immediately followed by a second invoice for the month of May.

When do I receive my first and subsequent invoices?

Your first invoice: invoicing for your car starts as soon as LeasePlan has received the purchase invoice for your vehicle from the garage and paid it. The date of your first invoice therefore depends on the time when this takes place. For this reason, the first invoicing transaction will usually consist of two invoices: one invoice for the period from the date on which you took receipt of the car until the end of that month and a second invoice for the entire following month. The monthly lease price is always invoiced in advance for the following month.
These two invoices will both have the same invoice date and the same due date. The due date is 14 days after the invoice date.
LeasePlan will never collect two invoices at the same time. The invoice for the highest amount will be collected first via the next direct debit after the due date. The invoice for the lower amount will be collected on the next direct debit date. LeasePlan collects invoices via direct debit on the first of each month, the 15th of each month and the last day of each month. If one of these days falls at the weekend or on a public holiday, the transaction will be effected on the next working day.

Example: Receipt was taken of the car on 9 March. LeasePlan starts invoicing the car on 14 March. Two invoices are drawn up immediately.
One invoice for the period from 09/03 to 31/03 inclusive – invoice date 14 March, due date 28 March.
One invoice for the month of April – invoice date 14 March, due date 28 March.
The invoice for the amount covering the entire month of April, that is the invoice for the highest amount, will be collected by direct debit on 31/03.

The invoice for the part of the month of March, that is the lower amount, will be collected by direct debit on 01/04.

 

All other invoices for the monthly lease price will have the 10th of the month as the invoice date and the 1st of the following month as the due date. They will be collected on this due date, unless it falls on a public holiday or during the weekend.

Example: The invoice for the monthly lease price for the month period of May has 10/04 as the invoice date and 1/5 as the due date. This will usually be presented for direct debiting 01/05, but as this is a public holiday, the transaction will be effected on the following working day.

 

How do I pay my invoice?

Invoices are paid by direct debit, so you do not have to do anything. Make sure that your account contains the necessary funds at the time the direct debit instruction is to be carried out. 

I want to receive my invoice at a different e-mail address.

Let us have the new e-mail address as quickly as possible. You can do this by sending an e-mail to leaseplan@collectionslp.be. Please clearly indicate your name and number plate.

How do I receive my invoice?

You receive your invoice around the 10th of every month by e-mail sent to the e-mail address that you have given as a client. However, the first invoice will arrive at a different time. See ‘When do I receive my first invoice?’ for more information.

When will I know whether I qualify for Private Lease?

After doing a financial check, we contact you with the result and information on what comes next (within 5 working days).

The price is determined on the basis of a specific contract term in combination with a certain number of kilometres per year. What if I deviate from that?

If the annual kilometrage changes, for example because on average you drove or want to drive more or fewer kilometres per year, you pay the lease rate that, in accordance with the table, is associated with the new term/annual kilometrage combination.  The average driven annual kilometrage is evaluated a first time twelve months after start of the term, a second time 24 months after start of the term and a last time at the end of the term. In case the lease rate changes, you will owe the new lease rate retroactively, i.e. as of the start of the term. We will settle with you for the excessive or insufficient amount paid. This is illustrated in the following examples.
 
Example 1 (example Toyota Aygo): after the first year, you drive more kilometres than contractually agreed
Let´s assume: you concluded a contract with us for a term of 36 months and a number of kilometres of 1-7,500 per year. You pay a lease rate of € 179/month. After 12 months, it appears that at that moment you have already driven 14,000 kilometres. As of then you will pay the lease rate that goes with the annual kilometrage 7,501-15,000, i.e. € 194/month. The new lease rate applies retroactively, so for the preceding 12 months you´ll owe us an amount of € 180 = 12 months x € 15 (the difference between € 194 and € 179).  In that case, LeasePlan sends you a one-time invoice of € 180 for the correction over the already-driven months.
 
Example 2 (example Toyota Aygo): after the first year, you drive fewer kilometres than contractually agreed
It works the other way around as well. Let´s assume: you concluded a contract with us for a term of 36 months and a number of kilometres of 15,001-22,500 per year. You pay a lease rate of € 209/month. After 12 months, it appears that at that moment you have only driven 12,000 kilometres. As of then you will pay the lease rate that goes with the annual kilometrage 7,501-15,000, i.e. € 194/per month. The new lease rate applies retroactively, so for the preceding 12 months LeasePlan will owe you an amount of € 180 = 12 months x € 15 (the difference between € 209 and € 194).  In that case, LeasePlan sends you a one-time credit note of € 180 for the correction over the already-driven months.
 
Example 3 (example Toyota Aygo): in the first year you drive in accordance with the agreed kilometres and also in the second year, but you deviate in the third year
Let´s assume: you concluded a contract with us for a term of 36 months and a number of kilometres of 1 -7,500 km/year. You pay a lease rate of € 179/month. After 12 months, it appears that you at that moment have driven 6,963 kilometres and after 24 months, it appears that you have driven 14,015 kilometers . So you are driving perfectly within the agreed number of kilometres of 0-7,500 km/year.  At the end of the contract (after exactly 36 months), when you turn in your car, it appears that your final number of kilometres is 38,400 km.  This means that in reality you drove an average of 12,800 km/year.  And that goes with the lease rate of € 194/per month.  The lease rate applies retroactively, so for the preceding 36 months you´ll owe us an amount of € 540 = 36 months x € 15 (the difference between € 194 and € 179).  In that case, LeasePlan sends you a one-time invoice of € 540 for the correction over the already-driven months.
 
Example 4 (example Toyota Aygo): in the first and second year you drive in accordance with the agreed kilometres and ultimately you drive more than the maximum of 90,000 km included in the contract
Let´s assume: you concluded a contract with us for a term of 36 months and a number of kilometres of 15,000-22,500 km/year. You pay a lease rate of € 209/month. After 12 months it appears that at that moment you have driven 18,963 kilometres and after 24 months it appears that you have driven 35,867 kilometres. So you are driving perfectly within the agreed number of kilometres of 15,000-22,500 km/year.  At the end of the contract (after exactly 36 months), when you turn in your car, it appears that your final number of kilometres is 93,270 km. This means that in reality you drove an average of 31,090 km/year.  This rate is partly covered by the lease rate that is owed for a number of kilometres of 22,501-30,000 km/year and partly by the kilometre price for every driven kilometre above 90,000.  In this example, the following will happen:
1) You fall within the lease rate of € 224/per month.  The lease rate applies retroactively, so for the preceding 36 months you will owe to LeasePlan an amount of € 540 = 36 months x € 15 (the difference between € 224 and € 209).
2) The rate of € 224/per month covers 90,000 km.  You will have to compensate LeasePlan for the additional 3,270 km at a rate of 10 eurocent/km.
3) In that case, LeasePlan sends you a one-time invoice of € 867 (= € 540 + € 327) for the correction over the already-driven months and the extra driven kilometres. 
 
After every 12 months LeasePlan will check the number of kilometres you have driven in reality and they will contact you as soon as they see a difference with the contractual number of kilometres.

Can I have my car registered with personalised number plates?

That is always possible, but be aware of the following drawbacks:
- the cost for a personalised number plate amounts to 2,000 euros
- the car is always registered in the name of LeasePlan: this means that you´ve lost those 2,000 euros once you turn in the car at the end of the contract (*)
(*) unless, of course, you enter into a new contract and transfer the personalised number plate to the new contract
 

What happens if the person who signed the contract dies?

In that case, there are 2 possibilities:
- the contract is transferred to a different natural person
- the contract is terminated without costs

Why is the first invoice for a higher amount?

If you do not begin to use your car on the 1st, but rather on e.g. the 21st of the month, there is a ´broken´ period. You then receive an invoice for both the first broken period and the entire following month. You then pay in 1 time the lease instalment for the period from the 21st through the 30/31st plus the entire following month. You can find the calculation on the invoice.

How is the monthly payment made?

You receive your invoice in the middle of the month. The monthly lease amount is transferred on the 1st of the following month via a direct bank debit from your account.

Can I cancel my contract early?

You assumed a financial obligation for a specific period. Should you wish to cancel the contract before the end of the term, then you will have to pay a cancellation indemnity:
- if you cancel the contract within the first 12 months, then you pay 12 lease payments + 3 lease payments as cancellation indemnity
- if you cancel the contract between 12 and 36 months, then you pay through the month of cancellation + 3 lease payments of cancellation indemnity

With the invoice will I have enough details to prove the actual professional expenses in my declaration?

Yes, that is the case.

Do I have to pay a security deposit?

No.

What risk do I take?

You enter into a financial obligation for a specific period.  Along with the monthly rent, you can be charged extra costs in the following cases:
- in the event of claim as a result of a bilateral accident at fault, a unilateral accident, or vandalism by unknown parties
- in the event of loss of documents
- in the event of loss of keys
- in case of refusal of direct debit or default of payment
- in the event that the car is turned in too early or too late
- in case of gross negligence

Yes, it is recommended to check the oil level every 1000 km.  LeasePlan also expects this from you as the prudent and responsible holder of your car.

Do I have to pay my maintenance bill myself?

No, this is included in your lease agreement with LeasePlan.  The Toyota garage sends the invoice to LeasePlan and LeasePlan pays the invoice to the Toyota dealer.  So you simply drop off your car without worries and then pick it up again later.

Where can I have my car serviced?

At any official Toyota garage.  You are free to choose from amongst them.

How often must my Toyota be serviced?

The maintenance has to be done every 15,000 km/year, or once a year, whichever comes first.

How many seats does the car have?

The Toyota Aygo has 4 seats.  The middle seat in the back does not have a headrest, the 2 outer seats do.
The Toyota Auris has 5 seats.  All seats in the back have a headrest.

When is the car delivered?

When can I get the car?

After the Private Lease agreement has been signed and a number of documents have been received, an appointment is scheduled for turning the car over to you. The expected processing time is around 4 to 8 weeks, because we also take the statutorily-required 14-day reflection period into account.

What happens after the contract expires?

Well before the ending date of the contract, LeasePlan will contact you to inform you about turning in the Private Lease car and to present you with a new Private Lease offer.

Can I equip my car with other rims?

Yes, this is possible, but only after the car has been delivered. The cost of the installation is at your own expense. We recommend you to have the rims installed by your Toyota garage.  Any damage caused by improper installation and/or removal of the rims will be invoiced to you by LeasePlan.    
 
ATTENTION!  You can only equip your car with other rims provided that you respect the original tire size. Usually, larger rims demand larger - and often more expensive - tires.  If you do not respect the original tire size, LeasePlan will invoice you the additional costs.

Can I customize my Toyota Aygo with additional options or accessories?

Yes, this is possible, but only after the car has been delivered. The cost of the installation is at your own expense. We recommend you to have the options/accessories fitted by your Toyota garage.  Any damage caused by improper installation and/or removal of the options/accessories will be invoiced to you by LeasePlan.

Until when can I postpone the delivery of my car?

Untill May 15th 2016.

When (at the earliest) can I take delivery of my car?

This depends on the duration of obtaining the complete and correctly signed contract, other required documents and the expiry of the statutory reflection period.  If you decide late during the action period, the stock of available cars may perhaps be already exhausted and your car may still have to be ordered. In this case we unfortunately have no influence on the delivery period. 
In general, we expect a delivery period of 4 to 8 weeks after the expiry of the statutory reflection period, but we aim to deliver every car as quickly as possible.

Is driver/passenger insurance included in the lease contract?

No.

How much do I pay in case of damage?

'- For the Toyota Aygo you have a contractual indemnity of 450 euro. If you have non-recoverable damage, then you will pay for a share of the damage yourself (up to a maximum of 450 euro). Let´s assume there is damage of 850 euros - then you pay 450 euro.) If the damage amount is lower than 450 euro, you have to pay the entire damage amount yourself. 
 
- For the Toyota Auris you have a contractual indemnity of 650 euro. If you have non-recoverable damage, then you will pay for a share of the damage yourself (up to a maximum of 650 euro). Let´s assume there is damage of 1.050 euros - then you pay 650 euro.) If the damage amount is lower than 650 euro, you have to pay the entire damage amount yourself. 

Does LeasePlan take over my current car?

No. You can sell it yourself, online or otherwise.

Can I leave with the car right away?

No. But you can look at it.

Do I get a discount if I order more than 1 car?

Can I order more than a single car?

Is the stock limited?

Can I shorten the statutory reflexion period by confirming in writing to LeasePlan that I wish to do this?

Can someone with a provisional driving license drive the car?

A lease car is always a new and recent-model car, and thus meets strict environmental standards.
By registering for the Private Lease offer and thus replacing your current (older) car with a brand-new leasecar, you are helping to protect the environment.

When is the car delivered?

What if my car is stolen?

You must report the theft to LeasePlan immediately after learning of it and make a declaration to the police.

What if I am driving the car, there is an accident, and it ends up as a total loss?

If you caused the accident, LeasePlan will invoice you a contractual indemnity of 500 euros (for the Nissan Qashqai N-Connecta).  After that, the contract ends without further costs.

However, should the total loss have been caused by gross negligence (for example, due to alcohol intoxication, participation in races, etc.), then the residual value of the car will be rebilled to you and the contract stops.

Am I the owner of the car?

No: LeasePlan is the owner and you are the user.

What do the civil liability, risk retention & legal assistance include?

- civil liability: the legally-required insurance that covers damage to third parties 
- risk retention: with this we cover your own damage
- legal assistance: assistance that you can call on in case of car-related disputes
If you cause an accident and are at fault, you will pay a contractual indemnity of 500 euros (= maximum amount for the Nissan Qashqai N-Connecta) or the full repair amount, if this is lower than the contractual indemnity.
A contractual indemnity never applies to the following risks:
- glass breakage
- fire
- theft or attempted theft
- damage due to natural disasters (confirmed by KMI)
- damage due to collision with animals (not only wild ones)

Can I decide for myself where to have my tyres changed?

For tyre changes you can contact one of the tyre centres selected by LeasePlan.  On this list you can choose the nearest tyre centre on the basis of your postal code.  You can also contact LeasePlan by phone. After announcing yourself, you will be referred to the tyre centre.

Can I decide for myself where to have my car serviced?

You can schedule appointments for maintenance or technical repairs via the online environment (My LeasePlan). There you´ll find the suppliers who can help you. Or you can make a maintenance appointment with an official dealer.

Can I conclude an agreement without direct bank debit?

No.

Must I arrange for the insurance myself?

No, we provide civil liability, risk retention & legal assistance.

Can I have winter tyres put on?

Yes you can - at your own expense. You must turn the car back in in its original condition.

Can I add accessories myself?

Yes, as long as no permanent damage is caused and the car is turned in in its original condition.

Can I travel to other countries with my car?

Yes. Note carefully, however, that you are only insured in the countries listed on the insurance certificate (green card).

What if I change my mind? What do I do then?

We take into account a 14-day period for reflection after the signing of the agreement. During this period you can cancel the contract without having to specify any reason for doing so.

I don´t have a permanent employment contract, is that a problem?

That doesn´t have to be a problem. We will decide whether we can draw up a contract on the basis of your creditworthiness.

What does the check of my financial status entail?

It is a review of your creditworthiness (your ability to pay the monthly lease amount for the car).  LeasePlan uses it to get a better picture of the credit risks and financial risks.

On what basis does LeasePlan decide whether I qualify for Private Lease?

LeasePlan will have a credit check performed on the basis of your income and current costs. We will keep you informed about this during the registration process. We handle your information strictly in accordance with the privacy protection laws.

Can one smoke in the car?

We would prefer not, but we can´t prohibit you or others from doing so. Note that you will have to turn in the car in clean condition and without any (interior) damage or unpleasant odours.

May a dog be transported in the car?

Yes. Note that you will have to turn in the car in clean condition and without any (interior) damage or unpleasant odours.

Is there a maximum age associated with ordering the car?

No. You must be at least 18 years old and possess a valid driving licence.

Do I have to pay for oil refills myself?

Yes. Make sure that anyone you allow to drive the car possesses a valid driving licence. You remain responsible for the car at all times, even if you lend it out to someone.

Am I entitled to the use of a replacement car during the maintenance of my car?

That depends on the services your company chose to include in the contract.  Besides a replacement car, a number of service points provide alternative solutions such as free wifi allowing you to work while waiting for your car, or pick up & delivery.
We advise to contact driver services at 078-150 600 to find the solutions that best suits you.

My windscreen was smashed as a result of a breaking into my car. What should I do?

Immediately contact your local police to report the burglary. Then make an appointment for repair at one of the vehicle glass repair companies that LeasePlan works with. Call LeasePlan Driver Services at 078-150 600 and select option 2 (vehicle glass repair and replacement). An employee will prepare a claim file directly. To do this you must have the number of the police report and the details of the police at hand.

I have purchased an accessory for my car, it can be insured?

Accessories that were purchased by yourself can be insured up to 500 euros. You will need to provide LeasePlan with the original invoice.

I am abroad and my board documents are stolen. What should I do?

Always report the theft or loss of board documents to the police.  When abroad, you should report the theft to the local authorities and also to the Belgian police on your return. As soon as you are back in Belgium and you have received a statement of loss or theft drawn up by the police, you should submit this to LeasePlan so that we can arrange for new documents.

I have lost one or more board documents. How much does a duplicate cost?

A duplicate costs 120 euro (excluding VAT) per application. If several documents have been lost, only one application should be made otherwise 120 euro will be charged for each application.
This invoice covers the administrative costs that we had to incur in order to obtain the duplicates of your documents from the respective authorities.                                                                                   
You should request the police to draw up a statement of theft/loss. It is important that you inform the police as to whether there was an original or a copy of the certificate of registration. We need the original police statement in order to apply for new documents.

 

 

My number plate was stolen, what should I do?

Please have the police draw up a statement of theft or loss. We need this original statement and the copy of the certificate of registration in order to re-register the vehicle with the vehicle licensing authority. 
Please note that you may not drive on the public highway or park or alongside the public highway if your number plate has been stolen. You could have the vehicle towed to a depot if LeasePlan Assistance is included in the contract. You can then also use a courtesy car.                                                                                                                                 

 

                                                                                                                   

What is the procedure for purchasing my lease vehicle?

As from three months before the expiration date of the lease contract, LeasePlan can provide you with a price offer.

In case the lease contract does not expire within three months please address to your Fleet Manager. LeasePlan does not provide any indicative prices (nor by telephone or in writing). These prices are only given via an offer.

 

Why should I buy my lease vehicle?

No one knows your lease vehicle better than you. Taking over your lease vehicle is therefore also a clever move: you are and will remain the first driver. Would you like to take over your lease vehicle at the end of the contract or give a family member, friend or colleague the pleasure of purchasing your leasing vehicle at an attractive price? This is possible with LeasePlan.
From three months before the end of your lease contract, LeasePlan will be pleased to make you a keen non-binding offer for the purchase of your trusted lease vehicle.

 

I have to hand my vehicle in and do not wish to take it over. I did however pay for some options myself. Can I keep these and at which costs?

This is possible but not for all options. It is only possible if this option can be moved without causing damage, e.g., a bike rack, child seat or a towing hook. The options must be removed before handing the vehicle over.  

I have slight damage to my lease vehicle at the end of the contract. What damage is acceptable, and the cost of which not passed on?

If the damage results from normal use of the vehicle, this will be deemed acceptable damage of which the cost will not be passed on.  Acceptable:

  • Scratches in the paintwork, which can be removed by polishing and whereby respraying is not necessary.
  • A maximum of two dents or bumps per bodywork section, for example, the door or wing.  
  • Dents or bumps may be no bigger than a 1-euro coin.                                                                          
  • Chippings provided this does not include more than 25% bodywork section.                                                                                        
  • Chafe marks or scratches or repairs to the paintwork that are visible up to one metre away.

As a driver, I don't agree with the passing on of the costs of damage to the vehicle at the end of the contract, what should I do?

You have three days in which to respond if you do not agree with the passing on of damage costs.  The best thing is to pass the complaint on to your Fleet Manager. 

What happens if I have damage to my vehicle when handing over my vehicle due to use?

Vehicles of which the lease period expires and that are not taken over by the driver end up on the used car market. The vehicle will be inspected and assessed immediately on expiry of the contract. If the inspection reveals abnormal damage which was not declared to LeasePlan, you will be notified in writing as to the nature and damage and the costs of repairing this. If there are still questions following the assessment, we will try everything to find a solution to satisfy both parties.

Should I hand over my fuel card with the vehicle?

Each fuel card belongs in principle to the respective vehicle, this may not be used for the next vehicle.  Never hand your fuel card over with the vehicle and never give it to a third party.  You can cut the card in two and discard it. We will cancel the old card once the lease contract has been terminated.

What is the required condition of the vehicle when I return it?

Hand the vehicle over in a clean condition. After all, dirty vehicles yield less and will need to be cleaned at your expense. Make sure you have also removed your personal belongings from the vehicle.

As a driver, I need to hand in my vehicle as the lease has expired; where should I hand the vehicle in?

You should hand the vehicle over to LeasePlan Car Remarketing at 23a Industrieweg, 3190 Boortmeerbeek.  If desired, someone from SGS will check the entire vehicle with you in order to draw up an expert's report and have you sign this. This should be requested in advance.                                 
With the approval of your Fleet Manager, you can also leave the vehicle in the garage where you are collecting the new vehicle or on your business‘s parking space. When you leave the vehicle with the garage, the garage manager will draw up a report (car check document) and have you sign this.  If the vehicle is being collected at your companies parking, the transporter will prepare a report and have you sign this.

 

As a driver, I need to hand in my vehicle as the lease has come to an end; whom must I notify of this?

The Fleet Manager should send an e-mail to LeasePlan Driver Services as soon as the vehicle is ready to be collected.

I need to hand my vehicle given that this is the end of the lease period. What needs to be handed over with the vehicle?

Generally, a simple rule must be followed if a vehicle is to be handed in. You return the car as it was when it was delivered, including:                                      

  • all keys: reserve key and/or master key and possibly the code card                              
  • certificate of registration
  • green card                                                                                                    
  • the vehicle‘s maintenance book                                                                   
  • all leased accessories                                                                              
  • radio accessories such as code cards                                                                            
  • any software for the navigation system                 

I have incurred damage with a known other counterparty abroad. How should I state this to LeasePlan?

You should complete the claim form and forward this as soon as possible to LeasePlan, claims department (fax to 02-722 63 46 or e-mail to damage@leaseplan.be) or your insurer, if your vehicle is not insured via LeasePlan.

If insured via LeasePlan, you can already have a case drawn up by LeasePlan Driver Services by telephone via +32-2-722 60 00.

Note: the LeasePlan Claims Department also needs the original form.   

Can I have a technical defect to my vehicle rectified abroad?

Yes, you can.  Please contact driver services at 078-150 600 for further details. The appointed dealer will request an approval at the Technical Service in Belgium or at the Technical Service of the local LeasePlan branch.

What if I switch to a net contribution? What are the consequences for the employer and the employee - also taking into account the personal return?

Employee: By taxing the BIK via the wage administration, the cost for the employee will only be +/- 50% of the BIK amount. The BIK will however be included on the payslip and therefore also be stated in the income tax return.
The employee will be required to pay the full BIK amount if the BIK is charged via a net contribution. No benefit will be included on the payslip as the employee has already paid for the benefit received. Switching to a net contribution therefore also means an increase in the employee's cost.

Employer: When taxing the BIK via the wage administration, the employer will bear the VAT that he is obliged to forward to the VAT administration. The employee will pay the VAT if he pays the full BIK amount (no more cost for the employer) and the employer will receive extra income equal to the net amount excl. VAT charged to the employee. BTW dat aan de werknemer wordt aangerekend.

If I now charge a net amount, can I offset the difference/increase gross due to the new rules? What is best for the employer/employee?

It is indeed possible to have part of the BIK charged via the wage processing and to withhold part as a net contribution. Where previously, the BIK amounting to EUR 137.00/month used to be withheld as a net contribution and this BIK is increasing to EUR 163.00/month, the employee is given the choice of either the net contribution increasing to EUR 163.00/month or remaining at EUR 137.00/month and having EUR 26.00/month included in the wage processing and subject to tax.

If the choice is made for the combination of net contribution and the tax from the BIK via the wages, the pay slip will show the annual amount deducted from the wage via tax (here EUR 26.00/month x 12 months) and this will have to be included in the personal income tax return.

In the case of a combination of net contribution equal to the “old” amount and taxing of the BIK via wages, the cost to the employee will increase as he will be obliged to forward the VAT amount included in the BIK, which is taxed via the wages to the VAT administration.

Can I reduce the BIK by selling on my vehicles to a subsidiary or sister company?

Given that the calculation of the benefit in kind is always based on the original list price but that the VAT actually paid will be taken into account from 1 May 2012, which is then reduced by 6% per year that the vehicle is older than one year, the sale between subsidiary or sister companies only has a limited impact in the amount of the lower rate of VAT that has been paid on the second purchase compared with the original purchase.

When would it really be more interesting to purchase a private vehicle and to include the business kilometres (both for the employee and the employer)?

Whether it is more beneficial for an employer to drive his own car and receive a kilometre allowance for his business travel depends among other things on the ratio of business and private kilometres, what type of vehicle he would purchase privately (a large vehicle or a small city vehicle), how many years he wishes to drive this vehicle (a new vehicle every four years as with leasing or drive his own car for 10 years).

A number of advantages (starting point is the taxing of the BIK via the wage):

Volkswagen Golf - 30.000km/year - lease period 48 months -> from the point at which the employee may charge more than 25,500 business kilometres (purely business kilometres - no commuting kilometres), he will be seen to be in receipt of a greater benefit than that of a company car.

Mercedes C class - 30,000 km/year - lease period 48 months -> from the point at which the employee may charge more than 32,300 business kilometres (purely business kilometres - no commuting kilometres) (more than the budgeted kilometres per year), he will be seen to be in receipt of a greater benefit than that of a company car.

Whether providing a company car is more beneficial than allocating a kilometre allowance for an employee depends on the number of business kilometres that an employee can charge. Here, it should also be born in mind that a company car has come to be part of the remuneration package that an employee receives.

Furthermore, paying a kilometre allowance also increases the employer's workload given that as well as evidence of the business kilometres covered, he must also keep a list of the vehicles with which the employee covers business kilometres stating the respective CO2 emissions for the taxable calculation of the kilometre allowances. An employer also has no influence on whether or not an employee drives a “green” car, which has financial consequences for deduction of his vehicle costs/allocated kilometre allowance.

What is the impact for the employer and the employee of a km allowance instead of a lease vehicle?

Employee: The kilometre allowance that the employer gives the employee as repayment of the vehicle costs that he has incurred is not taxable if this is no more than the amount that the State gives to its employees (= EUR 0.3461/km this being the rate up to 30 June 2014). The tax authority has however limited the number of repayable business kilometres to 24,000 km.

Employer: For the employer, the payment of a kilometre allowance is a vehicle cost deductible from the corporation tax in proportion to the ratio of 30% fuel costs, deductible for 75% and 70% with other vehicle costs being deductible in accordance with the vehicle‘s CO2 emissions. This means the employer must maintain a list of the employees' vehicles with their CO2 emissions, thus adding to the workload

What alternatives are there for limiting the Benefit in kind?

  1. Replacing the vehicle early: the lease contract can be terminated prematurely at the client's request. The result of this is that a severance fee will be calculated (= balance of depreciation).
  2. Reducing the contract term: LeasePlan will in this case recalculate the contract over a shorter period. The result of this is an increase in the monthly lease price (depreciation over a shorter period).
  3. Extending the term of the contract: LeasePlan will in this case recalculate the contract over a shorter period. This will mean a reduction in the monthly lease price for the employer and the employee will also see an annual reduction of his benefit of 6%.

Can you as an employer offer a financial contribution for increasing the BIK? What is the best way to do this as an employer?

A financial contribution could include a wage increase but one should in this case remember that this will lead to an increase in wage costs (wage increase + employer‘s social security contribution) for the employer.

The driver drives with a Belgian number plate but is on the payroll abroad. Where is the BIK payable?

The driver's benefit is payable abroad if that's where he pays his social security and withholding tax. A driver with a Belgian number plate and on the pay roll, e.g., in the Netherlands will pay for his benefit according to the Dutch model.

The driver works from his own company for firm X and is therefore not on the payroll of firm X. He has however received a company car from firm X. Is a BIK payable in this case?

A benefit occurs as soon as someone receives a vehicle for free, which he is able to drive privately. The BIK indeed cannot be processed in the wages administration if the driver is not on the payroll. Firm X should in this case invoice the benefit to the driver separately.

Can I take my vehicle for a service abroad?

We recommend to have your car serviced in Belgium before you go abroad.  Should this exceptionally have to take place abroad, then contact driver services at 078-150 600 .  The appointed dealer will request an approval at our Technical Service in Belgium or at the Technical Service of the local LeasePlan branch.

May other people also drive the vehicle abroad? Must I also be in the vehicle in that case?

Anyone with a valid driving licence may drive the vehicle as far as LeasePlan is concerned. The Fleet Manager is however responsible for deciding who may drive the vehicle. The main driver need not himself be in the vehicle as far as LeasePlan is concerned.

I am leaving soon for abroad and am also due for a service shortly. May I have this carried out before or after my stay abroad?

We recommend to have your car serviced in Belgium before you go abroad or on your return.  However the mileage should not exceed the foreseen maintenance mileage with more than 2000 km.  Should the maintenance exceptionally have to take place abroad, then this has to be done by an official dealer of the make of your car. Please contact driver services at 078-150 600 for further details.

The concerned dealer should request an approval at our Technical Service in Belgium or at the Technical Service of the local LeasePlan Branch.

I am going on a journey with my lease vehicle to a country that is not in the European Union, what now?

With the exception of Switzerland, Andorra, Monaco and Liechtenstein, given that these countries are between EU Member States, a certificate is indeed required.  The driver should for this provide Driver Services with the following details:                                                                                                

  • Written approval of the Fleet Manager                                                                              
  • Number plate                                                                                                                                
  • Country (or countries) to which the driver is to travel with the vehicle                             
  • Period of journey from/to                                                                 
  • Name and address of the driver to whom we should send the certificate

The certificate will from now one be legalized, approved and provided of all required stamps and signatures by the specific authorities. (municipality, Foreign Affairs, etc.) The document you will receive will be ready to use. The cost for this entire procedure will have to be reimbursed to LeasePlan.

Attention! This new procedure will have an impact on the delivery time of your certificate. The document will be sent within 10 working days after your request to LeasePlan. After which we will send it to you or you will have the possibility to pick it up at our reception desk at LeasePlan.

May I drive my LeasePlan vehicle abroad?

Yes, you may. You should however ascertain whether the insurance covers the country of destination (green card) and whether or not a special (customs) document is required.

 

Where may I send the request for reimbursement of costs paid in advance?

How can I request reimbursement of costs paid in advance?

Complete the document “request for reimbursement of costs paid in advance”.  You will find this document in your LeasePlan folder with the board documents.  Do not forget:    

  • to include the necessary supporting documents                                                                
  • to submit your request no later than six months after the date in question                                                                                  
  • to clearly state your bank details                                           
  • to have the invoice drawn up in the name of the legal owner of the vehicle stating his VAT number. You will find this information on the certificate of registration with your board documents.

 

 

Am I entitled to reimbursement of fuel purchased in Belux (Belgium and Luxemburg)?

Yes, if fuel is included in the contract. The documents for requesting reimbursement are included in the board documents. You should send this document together to LeasePlan with the original fuel receipts (it is best to keep copies yourself) in an orange envelope (also among the board documents). Please allow 10 working days before receiving this in your account.

Do I need to pay the technical inspection for the towing hook myself? Will I be reimbursed for the costs of this?

LeasePlan will bear the costs of the technical inspection if the towing hook was included in the offer.
EXCEPTION: an annual inspection is required if your vehicle pulls a weight over 750 kg. The first technical inspection is after four years if your vehicle pulls under 750 kg.

I have received an appointment for the technical inspection. I am only driving my vehicle for a few days more. Do I still need to attend the inspection?

Yes, you must attend the inspection if the vehicle continues to be driven up to the last permitted date of the inspection. LeasePlan cannot oblige you as the driver to attend the technical inspection but the you may be reported following a police control for failing to attend a technical control on time.

I have received an appointment for the technical inspection. Where should I report to?

You may attend the technical inspection anywhere in Belgium. Only in the event of a re-inspection following a failure are you required to return to the station where the vehicle was failed.

 

Am I entitled to legal aid?

You will have legal aid if the grounds for the dispute of your fine are justified (it was a different vehicle, you were as the driver, not at the place where the incident took place etc.) and your insurance policy includes legal aid. If you are insured via LeasePlan, contact Driver Services on 078-150 600.          
If you are insured elsewhere, contact your insurer of your fleet manager.                                                                                                

 

 

 

I have received a fine in Belgium. To whom should the completed information form be returned?

The driver is always responsible for paying fines.
The fines are sent directly to LeasePlan and LeasePlan will immediately forward these to the driver or the Fleet Manager for payment depending on what agreements have been made.
The completed information form can therefore be returned directly to the address of the authorities issuing the fine as stated on the fine. LeasePlan should however also be notified of any disputes.  We advise you to keep a signed logbook in order to avoid discussions in the case of pool vehicles or if others use your LeasePlan vehicle regularly.

My fuel card does not work. What should I do?

Call our Driver Services staff on 078-150 600 and state what error message you are receiving.
At which garage are you attempting to draw fuel? The brands of fuel where you can tank depend on the type of fuel card. 
Have you entered an incorrect PIN code?

  • The code will be unblocked after 24 hours if the code is still known.
  • A new code will be requested and delivered within 3 working days if the code is no longer known.

The card will be blocked and a new card ordered if it has become illegible. The new card will be delivered in 10 working days.                                                                                  
If there is a problem the first time you draw fuel, first try to draw fuel from another station. The problem is often linked to the terminal.                                                           

I paid for fuel myself as the card did not work. How will I be reimbursed?

The refund documents can be found in the LP board documents. Attach the receipt to this and then send this in an orange envelope (also in the LP board documents). These orange envelopes will reach the Technical Administration Services directly. Please always send the original documents. The best thing is to keep copies of these.

I have entered an incorrect code three times. How long does it take before the card is active again?

Contact our Driver Services Desk on +32 (0) 78-150 600. The card will be unblocked within 24 hours if the code is still known.  A new code will be requested and delivered within three working days if the code is no longer known.

My fuel card has been lost or stolen. What should I do?

Immediately contact LeasePlan Driver Services on 078-150 600. We will immediately block your card in order to prevent misuse and will request a new one. You can expect this to arrive within about 10 working days.
You can in the meantime pay for your fuel yourself and request reimbursement as soon as you have your new card.  You can use the reimbursement requests in your LeasePlan folder for this. You should send this reimbursement request to LeasePlan completed and signed together with the original fuel receipts/invoices within six months.  You will be reimbursed via your bank account as soon as we have received these documents.

How long does it take to receive a card/code?

A new fuel card takes 10 working days to arrive. A new PIN code takes three working days to arrive.

I have a new vehicle. Has my fuel card already been sent and who will receive this?

If your contract covers fuel, the fuel card will be in the board documents of the new vehicle. You will receive the PIN code separately.
Note: the fuel card in combination with your PIN code is valuable! Ensure therefore that you always keep these separate from one another. Either you or your employer will bear the consequences of misuse and the costs flowing from this. Loss or theft must therefore be reported directly to the police and LeasePlan

If I have a problem in BELUX with my vehicle, theft of the vehicle or an accident. What services can I count on?

In the case of immobilization (BELUX), either alongside or on the public highway, at the driver's place of residence or work, LP-Assistance will send a competent technician to the location within two hours in order to render the vehicle drivable again.  If it is possible to definitively repair vehicle, the technician will effect a temporary repair, which will suffice for at least 24 hours so you can always continue the normal daily activities.

If temporary or definitive repair is not possible, LP-Assistance will arrange for the transfer of the defective vehicle to a recognized garage/bodywork specialist. If the vehicle remains in the garage, you will remain entitled to a courtesy car from VAB.

What details should I then give them for the purpose of roadside assistance?

Always keep the following details to hand:

  • Number plate of the vehicle                                                                                                                                                                             
  • Exact description of the  location where assistance is required                                                                                                                                                             
  • Description of the problem                                                                                                                                                                      
  • Telephone number where you can be reached

In which countries is roadside assistance provided?

Roadside assistance is available in all countries mentioned on the green insurance card.  Here, the vehicle is insured, not the driver/or the passengers. 

When can I use LeasePlan Assistance?

If your business has opted for this service, you may use this at any time - if your vehicle is immobile.  LeasePlan Assistance is available 24 hours a day, seven days a week via 078-150 600, option 1.

There is a chip in my windscreen. What should I do?

Make an appointment for repair at one of the glass repairers that LeasePlan works with. Call LeasePlan Driver Services at 078-150600 and choose option 2 – glass repair. A representative will open a file with you and transfer it to LeasePlan.

Is a fluorescent safety vest mandatory in Belgium?

Yes, since June 1, 2009  the retro-reflective safety vest is part of the mandatory safety equipment of the vehicle, like the warning triangle, the first aid kit and fire extinguisher. The safety vest must be worn in all cases where the vehicle comes to a stop along the highway, or when it is parked on the hard shoulder

I drive a LeasePlanwagen and I have had an accident. I do not agree with the version given by the counterparty that he wishes to place on the accident form.

Inform the police and have a report made up. Report this to LeasePlan or the insurer. Do not sign this if the police is not able to come.

To which address should the accident report be sent?

If the claim relating to your vehicle is managed via LeasePlan, send this to us, for the attention of Claims Management, 8 Excelsiorlaan - 1930 Zaventem. If your vehicle is not insured via LeasePlan, the best thing is for you to contact your Fleet Manager

What's the correct way of completing an accident statement?

An accident, you are shaken, stress, emotion … and yet, it is very important to complete a European accident form.  This form will enable insurers to settle the claim amicably. It is therefore necessary to take the required time. It goes without saying that taking photographs can also be an important aid in clarifying any unclear circumstances.

 

Wat moet ik doen in het geval van een ongeval met tegenpartij?

  1. First always alert the emergency services if there are any casualties (tel.: 112).
  2. VComplete the European accident form carefully and immediately in the event of an accident. This is included in the folder containing the board documents. Both parties should complete all the boxes on the front side of the form and sign this together. Do not forget the sketch of the incident, the crosses for clarification of the sketch and any notes. 
  3. Always make sure that you have noted the names and addresses of any witnesses.  Complete the rear of the accident form yourself.
  4. If you do not agree with the circumstances of the accident or you were the victim of a hit-and-run, inform the police immediately (tel. 112) who will make a report. If the police makes a report, always send a unilateral declaration with your version of the events to LeasePlan. If the police refuse to come, complete the accident form without signing it.
  5. If the vehicle is insured with LeasePlan, you can inform us of this via our Driver Services staff (078-150 600). If your vehicle is not insured via LeasePlan, we advise you to contact your Fleet Manager to discuss how things are to proceed.
  6. Submit your European accident form within 48 hours stating the number of the report
    and the address of the reporting authority ( if applicable).
  7. If your vehicle is so seriously damaged that you can no longer drive it, you may request help from LeasePlan Assistance (078-150 600), at least if this service is included in your contract.

Where can I arrange for storage of my summer/winter tyres?

In the tyre centre where the last tyre change took place.

Which are the benefits of winter tyres?

  • The changing state of the road surface: dry road, rain, wet road surface, deep puddles, fresh snow, ice, broken up ice, frozen snow, etc...
    The lower temperatures (below 7° C) whereby the rubber on the summer tyres is much less efficient on winter roads.
  • Safety: more grip on a dry and wet surface at low temperatures, more grip on the snow and ice and a shorter braking distance

Where can I have a tyre changed or repaired?

You can find the nearest tyre centre via this link, or call Driver Services on 078-150 600. You can make an appointment directly with the right tyre centre. The tyre centre will take care of the inspection and LeasePlan will pay the invoice.

 

Which formula is used to calculate the taxable benefit?

The formula for the calculation of the taxable benefit for 2014 is as follows:

  • For diesel-powered vehicles:

gross list price x [[[(carbon dioxide emission level - 93) x 0.1] + 5.5]/100] x6/7

  • For petrol-powered vehicles:

gross list price x [[[(carbon dioxide emission level - 112) x 0.1] + 5.5]/100] x6/7

Minimum amount taxable benefit

Earlier this year, the Fiscal Administration announced the indexed sums applicable for the year 2014 in the Belgian State Gazette of 20 January 2014.

The minimum benefit in kind for the private use of a company car increases from 1,230.00 EUR for the year 2013 to 1,250.00 EUR for the year 2014.

Can my employer lease a car for me if I live abroad? What happens if I move (back) to Belgium during the course of the contract?

Yes, this is possible. However, your insurer and the Inland Revenue Service may raise objections when you are driving a Belgian lease car carrying a Belgian number plate largely abroad. Which means you will be required to explain your specific situation to your insurer and the Inland Revenue Service.

What is the current legislation for the use of winter tyres in the European countries

The most up-to-date information in relation to the use of winter tyres can be found on the website of VAB.

How do I make best use of my lease car on an everyday basis?

  • Make sure you check the oil level and the level of the other fluids on a regular basis between two services. This will ensure the engine works to optimum performance levels and will help you drive down fuel consumption.
  • Check the tyre inflation pressure at regular intervals. This helps to prevent wear and tear and increases your safety on the road. In addition, this helps to keep your fuel consumption in check.
  • Fill up on the right fuel.
  • Keep the vehicle clean and tidy. This will prevent the paintwork from corroding.
  • Strictly keep to the servicing requirements set out by the car manufacturer. This will avoid disputes in case of technical problems.

I would like to lease a van. Do you lease vans?

Yes. As a self-employed worker, SME or someone working in a liberal profession, you are more than welcome to lease a van from LeasePlan.

Suppose the delivery time of my new lease car is 3 months. Does the lease take effect upon delivery of the car, that is to say in 3 months’ time? What can LeasePlan do in the intervening period?

Until your lease car is delivered, you get the use of a so-called “temporary car”. Which means you are out and about from the time the order is sent in. The lease contract as such does not take effect until the date on which the lease ordered is actually delivered.

My car breaks down whilst on the road. What do I do? Who should I call?

If you are unable to continue your journey due to a road traffic accident or a breakdown, you are entitled to roadside assistance 24/7 throughout Europe. In case of a road traffic accident, please be sure to carefully read the terms and conditions of insurance on the “green card” which is kept inside your car. The driver manual lists a series of useful telephone numbers.

Are the monthly lease sums for the Full Operational Lease calculated according to the method of open calculation or closed calculation?

All LeasePlan Direct contracts are calculated on the basis of closed calculation.

I work in Belgium for a German employer who does not have any sites in Belgium. Can my company lease a car for me from LeasePlan?

Yes. However, approval depends on the financial standing of the foreign debtor and the guarantees that are supplied.

Does LeasePlan offer any further lease formulas other than Full Operational Lease for fleets with less than 20 vehicles?

No, LeasePlan only offers Full Operational Lease for this kind of fleets.

Does LeasePlan lease vehicles to all sectors of trade and industry?

No. We do not lease vehicles to driving schools, taxi companies and courier companies.

How long does it take for LeasePlan to assess the credit standing of new customers?

If the required business information is available, you will get an answer within two working days at the utmost. If the business information required is not available, this will depend on how swiftly you provide us with your annual figures.

Can I also get a temporary car at LeasePlan?

Definitely. If you sign a lease contract with LeasePlan, we will be happy to arrange a temporary car for you through our sister company. The temporary car is delivered to the address of your choice in Belgium.

Can I sign a contract with LeasePlan as a self-employed worker who is just starting out?

LeasePlan will objectively assess your application. However, you will understand that our terms of acceptance for start-ups are stricter than those for businesses that already have a healthy and proven financial track record. As a start-up self-employed worker, you will be required to submit a financial plan for the credit application.

Am I free to choose a car dealership for the purchase and servicing of my lease car? Or do I need to go to the nearest site?

Depending on the event that has to take place, LeasePlan will guide you to the best dealership or service point.
